Steam ovens and built-in coffee systems are the most mechanically dense appliances in a luxury kitchen. Both push water through a heated element or block under control, both meter what they do, and both keep internal counters that owners reasonably mistake for measurements.
That last point causes more confusion than any component on either machine.
A prompt is a schedule, not a reading
A built-in coffee system counts brew cycles. It has no sensor for what is dissolved in the water arriving at it, so its maintenance prompt is a schedule set by the manufacturer against an assumed average, not a report on the state of the machine. The same is true of most steam-oven service reminders.
The practical consequence is that a prompt satisfied on time is not proof of a clean heating circuit, and a prompt that returns almost immediately after being cleared is telling you something specific: the accessible path was cleared and whatever is beyond it was not. Running the cycle again does not reach further. That is the point at which the job stops being maintenance and becomes a generator or brew-circuit repair, and it is worth knowing before a third attempt.
Volume is the earliest number you have
On the coffee side, the most useful diagnostic an owner can give us is volumetric and it requires no tools. If the grind, the dose and the programme have not changed and the volume in the cup has fallen, the path the water takes has narrowed. A pump compensates for a while by working harder against the restriction, which is why the failure appears to arrive suddenly when the narrowing has been happening for months.
The corresponding number on a steam oven is time-to-steam. An element working through an insulating layer runs longer to produce the same output, so the cavity takes longer to come up before anything reports a fault at all.
Plumbed against reservoir-fed
The two supply arrangements fail in different places, and they are worth telling apart when you call.
A plumbed machine has a shutoff, a line, a connection at the appliance and usually a filter housing. Every one of those is a potential restriction, and a partly closed valve or a filter well past its life presents at the front panel as a water fault on the machine. Before anything inside the appliance is suspected, the supply to it has to be established as good.
A reservoir-fed machine moves the problem inside the cabinet. The seal at the tank, the pickup, and the valve that closes after fill are the recurring items, and the classic symptom is a reservoir that empties faster than the cycles used it. That is a leak, and it is usually reachable without pulling the appliance.
Reservoir units are also the ones people try to improve by filling from filtered water. It helps with sediment and taste. A standard carbon cartridge is not a softener, and it changes less than most owners expect about what accumulates on a hot surface.
Steam generators
On a combi-steam or generator-equipped oven, the generator is the machine. It is a vessel, an element and a set of sensors, and every fault worth having on that appliance runs through one of the three.
The sequence is consistent. The element works through whatever has accumulated on it, so output falls and cycle times stretch. Then a level or temperature sensor begins reading through the same layer rather than reading the water, and faults appear that a maintenance cycle cannot clear because the cycle never reaches the sensor face. At that point the generator assembly becomes the job, and it is one of the parts that waits — it is ordered against the serial number, not the model, because revisions of the same appliance do not always take the same vessel.
Brew units, seals and burrs
The mechanical half of a coffee system wears on a slower clock. Brew-unit seals harden and stop sealing under pressure, the drive that moves the group develops play, and burrs lose their edge gradually enough that owners compensate at the grind setting for a year without noticing.
Grinder complaints are the ones most often misattributed. A grinder that has become noisy or inconsistent between shots is a burr, bearing or dosing question, and it has nothing to do with the water path at all. It is worth separating in the description when you call, because the two problems bring different parts to the door.
Access, and why these appliances are quoted carefully
Both types sit in a tall cabinet stack, frequently above or below an oven, with services entering from behind and no service space in front of them. Reaching the back of one means bringing it out of the stack, which means supporting it, and where a plumbed line is involved it also means isolating a supply that may run through the back of a cabinet run.
None of that is difficult work. All of it takes time, and it is priced in the written estimate before it starts rather than discovered on the day.
When to call the manufacturer instead
Two cases come up often enough to state plainly. If the appliance is inside a manufacturer warranty period, the manufacturer’s own network may be required for covered work, and we will say so rather than take the job. And where a generator or brew-group assembly costs a large fraction of the value of the appliance, that goes on the estimate as a number you can weigh, not as a recommendation you have to accept.
02 Diagnostic order
What a technician checks, and in what order
Order matters more than tooling. Each step below is cheaper, faster or more likely than the one after it, and every one of them has to be ruled out before the next is worth opening. A visit that starts in the middle of this list is how a second visit happens.

What the machine is actually reporting
These are the only appliances in the kitchen that keep counters and schedules of their own. A prompt is not a measurement, and knowing whether the machine is reporting a count, a sensor reading or a hard fault decides everything that follows.

Water path in, from the source
Reservoir seal, inlet, pump inlet screen and the line to the machine. A reservoir emptying faster than the cycle should use it, or a plumbed line with a partly closed shutoff, produces faults that look electronic from the front panel.

Volumetrics on the brew side
If shot volume has fallen while grind, dose and setting have not changed, the brew path has narrowed. A pump will hold that up for a while and then stop being able to, which is why the complaint arrives as a sudden change after a slow one.

The generator or thermoblock surface
On a steam appliance the element and its surface are the whole machine. Anything insulating that surface makes the element run longer for the same output, so time-to-steam stretches before any fault code appears.

Sensors, and what they are reading through
Temperature and water-level sensors report what reaches them. A sensor reading through a deposit layer is not faulty and replacing it changes nothing — the layer has to come off first, and that is a different job.

Brew unit, seals and grinder, last
Mechanical wear on a brew group, its seals or a set of burrs is real but slow, and it is the most invasive thing on the list. It is diagnosed after the water and heat paths are known good, not before.
Parts for built-in and professional equipment are ordered against the serial number, not the model alone: the same model built two years apart does not always take the same component. Sealed-system parts, inverter boards and steam-generator assemblies are the ones that wait. Door hardware, gaskets, thermistors and fan motors usually do not.
Built-in equipment is fitted to the millimetre. A refrigerator column comes forward on rails and carries several hundred pounds with the doors on; an integrated dishwasher cannot move until its cabinet panel does. Reaching the back of either is frequently the longest part of a visit, and it is priced in the written estimate before it starts.
